The Missing Children Society of Canada (MCSC) is a national not-for-profit organization dedicated to reuniting missing children with their families. Working closely with law enforcement agencies, government bodies, and community partners across the country, MCSC provides investigative support, family assistance, and public awareness initiatives during some of the most critical moments a family can face.

The Opportunity
MCSC is seeking its first-ever Executive Assistant to support a high-performing, mission-focused CEO. This is a newly created role, offering a rare opportunity to build the executive support function from the ground up.
This role is ideal for someone who wants to go beyond calendar management and act as a true right-hand partner — someone who thrives on creating structure, enabling efficiency, and operating behind the scenes to ensure everything runs seamlessly.

Key Responsibilities
Executive & Calendar Management
- Manage and optimize the CEO’s calendar, ensuring strategic alignment of priorities
- Coordinate meetings with board members, government officials, law enforcement, and partners
- Draft and manage correspondence; oversee email triage
- Prepare agendas, briefing materials, and meeting summaries
- Coordinate travel and logistics as needed
Stakeholder & Communications Liaison
- Serve as a professional point of contact for diverse stakeholders
- Represent the CEO with discretion, professionalism, and warmth
- Maintain strong external relationships, including with law enforcement and government partners
- Handle confidential communications with integrity
Operations, Projects & Systems
- Build and maintain efficient administrative systems using Microsoft 365
- Track priorities, follow up on deliverables, and ensure accountability
- Support board meeting preparation, including materials and minute-taking
- Identify gaps, solve problems, and improve workflows
- Support special projects and take ownership of defined workstreams

Qualifications
Required:
- 5+ years of experience in an Executive Assistant or senior administrative role
- Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint, OneDrive, Word, Excel, PowerPoint)
- Experience supporting senior leaders and managing complex calendars
- Exceptional communication skills (written and verbal)
- Proven ability to work independently in a remote environment
- High level of discretion, professionalism, and emotional intelligence
- Experience working with (or strong ability to engage with) law enforcement, government, or similar stakeholders
- Must be based in Canada
Assets:
- Experience in a not-for-profit or mission-driven organization
- Familiarity with board governance and board meeting coordination
- Experience supporting an executive without prior administrative support
- Bilingualism (English/French)
- Interest in child welfare, public safety, or community services
