Job Title: Commercial Real Estate Administrative Assistant
Job Type: Part-Time, approximately 30 hours per week
Office: In Office (with opportunity to be flexible)
Location: Spruce Grove, AB (near Edmonton, AB)

Overview:
Our client (in commercial real estate) is an innovative and progressive commercial real estate team seeking a friendly, detail-oriented Commercial Real Estate Administrative Assistant.

Key Responsibilities:

  • Greet clients and agents warmly, handle incoming calls, emails, and inquiries, and direct them to the appropriate team members, ensuring an exceptional first impression
  • Manage calendars and coordinate appointments to ensure seamless scheduling alignment
  • Assist the team with preparing and editing correspondence, organizing paperwork, and managing documentation, including listings and contracts
  • Maintain organized electronic and physical filing systems, ensuring that all forms, templates, and paperwork are kept up to date
  • Manage client call lists and conduct follow-up communications to ensure exceptional service and relationship building
  • Prepare, edit, and format documents such as contracts, proofs, and proposals with a high level of accuracy
  • Manage confidential information with a high level of discretion
  • Be responsive to emails/texts/phone calls, with possibility for contact outside normal business hours

Skills and Qualifications:

  • 3-5 years of administrative experience, preferably in commercial real estate
  • Diploma or degree in business is a plus
  • Strong verbal and written communication skills with a friendly, professional demeanor
  • Exceptional organizational and time management skills, with strong attention to detail in all tasks
  • Ability to pivot between multiple priorities and tasks while maintaining a positive and calm attitude
  • Proficiency in Microsoft Office Suite, Google Workspace, Adobe, and familiarity with real estate platforms; quick to learn new software
  • Positive, team-oriented, and customer-focused, with the ability to work both independently and collaboratively
  • Previous experience in customer-facing roles is highly beneficial
  • Ability to adapt to a flexible schedule with changing priorities
  • High accuracy in managing records, documentation, and confidential client data
